Preparation and Facilitation of UNICEF team building retreat - Bissau, Guinea Bissau

Background

UNICEF Guinea-Bissau is in the process of developing a new country programme (of cooperation (CPD) with the Guinea Bissau government. The CPD process is an opportunity for UNICEF to review its programme and refine its priorities; this in turn may imply changes in staff structure.

This year, UNICEF Guinea-Bissau is planning to organize a retreat to further enhance staff development in team building, providing them with the tools and skills to enable them to adapt to changes, and respond effectively to the challenges of creating an effective and efficient team. The retreat will also be an opportunity for the office to take a step-back to reflect on the challenges faced by staff to build effective and efficient team as well as discuss the best ways to ensure staff's participation and cooperation in change processes.

Objective

The objectives of the assignment are to develop and facilitate a retreat for the personnel of the UNICEF Guinea Bissau country office on team building and adaptability to change.

Activities, Tasks, Deliverables and Timelines

Scope of work:

The consultant is required to work closely with UNICEF Guinea-Bissau to successfully deliver on this retreat.

Specifically, the consultant is expected to perform the following tasks: (i) develop a plan for a two-and-half-day team building exercise; (ii) facilitate a two-and-half-day team building exercise, and (iii) prepare a final report outlining the workshop's methodology, including practical recommendations and tools which can be used by UNICEF in the future to improve teamwork.

Deliverables, Timelines and Payment:

Product # 1

  • A Teambuilding proposal - Preparation of a team building retreat workshop A training and team building plan clearly articulating the content of the different sessions for the team building exercise with objectives and duration of each session, as well as activities (including team games etc.);
  • A set of interactive and flexible facilitation tools and materials prepared prior to the workshop.

Product # 2

Facilitation of a team building retreat workshop (2.5 days workshop):

The team building exercise should be creatively organized to include sessions (with interactive activities and their duration) aimed at helping the personnel to enhance their

  • communication and interpersonal skills, recognize the value of team dynamics and use power of teamwork to achieve results.
  • The workshop should include practical exercises and sessions on the following modules: Communication, Conflict Resolution, Team Development, Team Work and Team effectiveness, and Adaptability to Change.

Product # 3

A report on the retreat workshop which includes:

  • Workshop's methodology
  • Practical recommendations and tools which can be used by the team in the future.

The consultant is expected to present a proposal including a description for each of the outputs identified above, the expected outcomes (knowledge to be acquired), the proposed methodology, the agenda for the two-and-half day workshop, the cost proposal as well as other logistical needs, and time frame for each of the product.

The consultant will receive the assistance of UNICEF with regards to logistical arrangements related to travel and accommodation in UAQUE for this retreat

To qualify as an advocate for every child you will have…

The consultant should possess the following knowledge and skills:

  • Expertise in sociology, psychology, Management or a closely related field;
  • 5-10 years of relevant professional experience;
  • Proven track record of facilitating team building and knowledge-sharing workshops and consultancy experience with international organization;
  • Excellent communication skills;
  • Full computer literacy and fluency in both Portuguese and French or English both written and spoken - are essential.

Conditions of work

In total, the consultant will be contracted for ten (10) working days, which include the two-and-half day (2 ½ day) workshop.

The final report submitted by the consultant will be reviewed by UNICEF within seven (7) working days, after which the consultant will be provided with comments and granted one (1) additional day to finalize the report.

The retreat will be held from 12 to 15 May of 2020 in UAQUE. The consultant is expected to facilitate the entire workshop.

  • Departure from Bissau to UAQUE, 12/05; 15h30 - 16h30;
  • Return from UAQUE to Bissau, 15/05; 10h30 - 11h30;

Payment terms:

UNICEF will pay:

10% upon satisfactory submission of the Teambuilding plan (Product no. 1)

10% upon satisfactory facilitation of the retreat (Product no. 2) and

80% upon satisfactory submission of the retreat report (Product no.3).

Final payment (80%) will be paid upon UNICEF's approval of the retreat report. The final report will be reviewed by UNICEF during three (3) working days, after which the consultant will be allowed one (1) additional day to include UNICEF's comments and finalize the report.

In total, the consultant will be contracted for ten (10) working days which includes the two-and-half day (2 ½ day) workshop.

Additional costs incurred by the consultant during the course of his/her contract (additional materials for the team building exercises) will be refunded, provided the costs were agreed upon by UNICEF in advance. Payments will be made following the submission of the deliverable, as per the table below.

Application requirements:

  • one Proof of a similar experience in the same field
  • one Financial Proposal will include (expressed in US dollars):
  • Fee, inclusive of per diem;
  • Travel costs.
